Buying vanilla beans wholesale doesn't have to be complicated. Whether you run a bakery, an ice-cream line, an extract operation, or a distribution business, the process follows the same clear path — and buying direct from origin in Indonesia removes the middlemen that drive up price and blur traceability. Here's exactly how it works, step by step.
The process in 5 steps
- 1. Choose your variety, grade & form.
- 2. Request a sample and check the quality yourself.
- 3. Agree on price, quantity & payment terms.
- 4. Confirm the order with a deposit (T/T or PayPal).
- 5. We handle export, documents & shipping to your door.
Why buy direct from Indonesia?
Indonesia is one of the world's largest vanilla origins. Buying direct from a grower-exporter — rather than through a chain of traders — means a shorter supply chain, clearer traceability, and better pricing for the same quality. Our beans are single-origin, hand-cured in Sukabumi, West Java, and prepared for export in-house.
Step 1 — Choose your variety, grade & form
Start with what your product needs. We supply both Vanilla Planifolia (classic, bold, ideal for baking and extraction) and Vanilla Tahitensis (floral and aromatic, ideal for fine pastry and perfumery), plus powder, extract, paste, and seeds. If you're unsure which variety fits, our guide on Planifolia vs Tahitensis breaks it down.
Beans are available in several grades. Gourmet (Grade A) beans suit premium, visible applications; lower grades and powder are ideal for extraction and high-volume formulation where flavour matters more than appearance.
Step 2 — Request a sample
For any serious wholesale relationship, we recommend starting with a sample. It lets you verify the things that matter before committing to volume:
- Aroma — rich, deep, and characteristic of the variety.
- Moisture & flexibility — a good bean bends without snapping.
- Appearance — colour, length, and overall consistency.
Step 3 — Minimum order quantity (MOQ)
We keep MOQs accessible, especially for first-time buyers. A typical path is: sample → trial order → bulk, scaling up as trust is established. The exact minimum depends on the variety, grade, and form you choose, so the simplest approach is to tell us your target and we'll confirm current MOQ and pricing. We're set up to handle both modest trial orders and large bulk contracts.
Step 4 — Pricing & payment
Vanilla pricing moves with several factors: variety, grade, moisture, order volume, season, and the Incoterm you choose (below). Once we align on specification and quantity, we'll send a current quote.
Payment methods
We keep payment flexible so it works for both sides:
- Bank transfer (T/T) — the standard for trial and bulk orders.
- PayPal — convenient for samples and smaller orders, or whenever a buyer prefers it.
- Terms by mutual agreement — for larger orders we can structure a deposit with the balance before shipment, and we're open to arrangements that suit both parties as the relationship grows.
Our aim is a payment setup that protects you and us equally — and becomes more flexible as we build a track record together.
Step 5 — Shipping, Incoterms & lead time
We prepare every order for export with secure, food-grade, vacuum-sealed packaging to protect aroma and moisture in transit. You choose the Incoterm that fits your logistics:
- FOB — we deliver to port; you manage freight onward.
- CIF — we cover cost, insurance & freight to your destination port.
- DDP — delivered duty paid, the most hands-off option for you.
Air freight is fast (a few days to ~2 weeks) and ideal for samples and smaller orders; sea freight is more economical for bulk. Lead time depends on order size and documentation.
Documents you'll receive
Smooth customs clearance comes down to paperwork. With your shipment we provide the standard export documents your import process needs:
- Commercial invoice & packing list
- Phytosanitary certificate
- Certificate of origin
- Certificate of Analysis on request
